END OF CHAPTER-YEAR WRAP UP
A Checklist for review
ANNUAL
REPORTS: It's time to finish up the year-end reports
and submit them to ASM Headquarters. All Chairs and Vice-Chairs
should have received the reporting packs which were mailed last
month. If you haven't received your pack, you can download
all the forms online: or contact Randall (Randall.Barnes@ASMInternational.org)
and he'll send out another copy.
The
annual reports for chapters include:
The
Technical Program Report detailing the upcoming year's program schedule.
The more detail that can be provided on this report the better,
as this information is entered into the searchable chapter meeting
schedule online.
Chapter
Officer Report is a list of all incoming officers and executive
committee members for your chapter. Updated contact information
and telephone numbers are very important to verify that the information
on file is the most current.
Quality
& Recognition Program Report is the tool used to award the three,
four and five star chapters.
Chapter
of Excellence Award Nomination (optional) this report is used by
Chapter Council to determine the best of the best in each of the
five chapter size categories.
Financial
Report (due 15 February each year) details the chapter's financial
status and is used by headquarters to prepare federal income tax
filings if necessary.
CHAPTER
OF EXCELLENCE: It's optional, but it can pay off HUGE
for your chapter. Each year, Chapter Council reviews the chapter
of excellence submission and chooses one chapter in each of the
5 size categories to be recognized as the Chapter of Excellence
for that range. Only chapters in good standing are eligible. Instructions
are included with the annual reports. Each winning chapter receives

LEADERSHIP
DAYS: It's coming up quickly, and now is the time to
sign up. This annual program, developed and presented by the ASM
Chapter Council is scheduled for August 12-14, 2005 in Cleveland,
Ohio. The program is exciting with key note speakers, opportunities
for YOU to directly interact with the chapter leaders and influence
the path of the organization, learn the best practices of other
chapters, meet influential members, network and bring home the
best tools for a new and fun year of chapter activities! In addition,
all 5, 4 and 3 star chapters are recognized for their excellent
achievements and the Chapter of Excellence Awards are distributed!
Room registration deadline is approaching quickly (July 11),
so don't delay! Visit www.asminternational.org/leadershipdays
for the detailed schedule and registration information. If you
are unable to register online, please contact Randall (Randall.Barnes@ASMInternational.org)
and he'll assist you.
All chapters are encouraged to attend, but those who are required
to maintain 'Chapter in Good Standing' rating include: Akron,
Atlanta, Benelux, Bluegrass, Buffalo, Carolina Southern Piedmont,
Carolinas Central, Central Florida, Chennai, Columbia Basin, Czech
Republic, Dayton, Dnieper, Finland, Fort Wayne, France, Great
Plains, Gujarat, Hartford, Hungary, Kiev, Lehigh Valley, Long
Island, Los Alamos, Northern Michigan, Northwestern PA, Ottawa
Valley, Penn State, Peoria, Pune, Quad Cities, Rhein-Ruhr, Rochester,
Romania, Savannah River, SCTE Pittsburgh, SCTE Rockford-Beloit,
Singapore, South Bay, Southwestern NY, Spain, Sweden, Utah, Warren,
Washington DC.
FINANCIAL
ASSISTANCE: Feeling the squeeze? Many chapters do,
and for this reason, the Chapter Council has financial
assistance for qualifying chapters to attend Leadership Days
without incurring a hardship for the chapter and technical programming.
You can apply online, or you can talk with Randall. Either way,
it may be worth investigating. If you don't automatically qualify
(rules are posted on the website), don't lose heart. If you chapter
is undergoing extraordinary circumstances, contact your District
Representative or call Randall (Randall.Barnes@ASMInternational.org).
NEW
OFFICER BOOTCAMP: If you're a new officer, or new to
your officer role, or if you just want to learn more, arrive a
day early to Leadership Days and spend that Friday with other
new officers, going over the basics and sharing the secrets of
success with others who have gone before you!
ASM
LOGOS: Are you using yours? You gain points on your
Quality Recognition Program report by using the new logos, as
a reinforcement of the Society Identity in the ASM Strategic Plan.
Officers can access logos by logging into the ASM Website and
accessing Officer Tools.
ASM
TRUSTEE VISITS TO CHAPTERS: Each year, every chapter
has the opportunity to request a Trustee visit. This is an ideal
opportunity to bring the energy and excitement of the society's
development directly to your member's attention, not to mention
the opportunity for a good solid technical presentation, and it's
free! To review the trustee list and fill out a request form,
just follow
the link, or contact Randall (Randall.Barnes@ASMInternational.org).
RUNNING
LOW ON VOLUNTEERS?: The Membership Development Committee
will be presenting again at Leadership Days 2005, but as you begin
thinking toward next year, and your continuing efforts to keep
your chapter healthy, now is a perfect time to review the Membership
Development Kit. It's online, it's at Leadership Days, but
is it in your chapter tool kit? Take a look, its well worth the
time!
OFFICER
AND EXECUTIVE COMMITTEE LISTS: It's part of your annual
report, but it's important to highlight it again! This list is
VITAL to your chapter. This list is used to update the officer
and executive committee roster of ALL chapters and keep you and
your leaders in contact with the resources available to you. Not
only will you be linked with your local districts and Chapter
Council representatives, but each district has a personal connection
to the ASM Board of Trustees! But you can't keep in touch if you
don't provide updated emails and mailing addresses. Make sure
your leaders are giving you the most up-to-date information possible,
and then send it in.
CHAPTER
BY-LAWS: When is the last time you looked at yours?
Are they in a dusty folder? Do you have them saved on a floppy
disk somewhere? Well, now is a perfect time to pull them out and
review. Older by-laws can mean ineffective or out-dated processes
for today's lean, mean Executive Committee machines! Check yours
out, bring a copy to Leadership Days and learn the latest improvements
in chapter by-laws and how to bring yours up to speed, not only
for you, but for your protection. If you need assistance in locating
a copy, contact Randall.
CHAPTER
COUNCIL DISTRICT OPENINGS: So, you've gone through
the officer rotation locally, you've had a great experience, and
now you're ready to represent your district at the national level!
Ask any Chapter Council Representative, it's an amazing experience
and well worth the effort! Chapter Council District Openings are
available for District III: Phoenix, Albuquerque, Los Alamos,
Rocky Mountain and Utah -AND- District IV: North Texas, Alamo,
Houston. For more information, contact Randall, or any Chapter
Council member.
INTERNATIONAL
METALLOGRAPHIC CONTEST
Sponsored by IMS and ASM International
It's not too late to enter the International
Metallographic Contest co-sponsored by the International Metallographic
Society and ASM International.
Twelve
categories of competition! Best in show receives the Jacquet-Lucas
Award and $3000. Cash awards
for first, second, and third place winners in eleven of the categories.
Entries will be prominently displayed during the Microscopy and
Microanalysis 2005 meeting in Honolulu and again at the ASM Annual
Event.
Don't
have time to create a poster specifically for the IMC?
Does
your chapter sponsor a photomicrograph contest of its' own?
Why
not submit the best of those to the IMC?
Simply put a label on the front of the poster to indicate which
one of the twelve categories you are entering and place your contact
information on the back of the poster. Deadline for entries is July
